Version 1.0

Your wedding photographs and films are personal. This page explains, in plain English, how we protect them, what we do if something goes wrong, and where responsibility sits. It sits alongside your booking agreement — your agreement is the contract; this page is the detail behind it.

Who works on your photographs and films

The Hijabi Photographer works with a small, carefully chosen team. Some are employed by us and some are engaged as contractors, and every one of them works to our direction under written terms. We remain responsible for instructing them and for the standard of the work delivered to you.

We tell you this openly because you are entitled to know that people other than the person you booked with may work on your material.

How our team is vetted

Nobody is given access to client material until they have:

  • Had their identity verified by us.
  • Signed written terms covering confidentiality, our ownership of all material, and an absolute prohibition on using client work in a personal portfolio, showreel or on social media — regardless of your privacy setting.
  • Confirmed those obligations again before any client material is shared with them, on the record.

How your material is handled

  • Access is granted for a specific project and withdrawn once that project is finished.
  • Material may be used only to complete the work we have assigned. It may never be published, shared, or shown to anyone else.
  • Nobody working on your material may keep private copies, and all local files must be deleted on completion or on our request.
  • Our confidentiality obligations continue to apply after someone's engagement with us ends.

Your privacy choice

You choose how your photographs and films may be used, and your choice is recorded in your booking agreement:

  • Sharing permitted — we may feature your images in our portfolio and on our channels.
  • Anonymised sharing — we may share images only where you are not identifiable, for example blurred or cropped.
  • Full privacy — we do not publish your images at all.

Whatever you choose, the confidentiality rules above apply to everyone who works on your files. Nobody on our team is permitted to publish your material under any privacy setting.

If something goes wrong

No organisation can promise that a person will never break the rules they agreed to. If material connected to your booking is published or shared without authorisation, we commit to:

  • Telling you promptly once we become aware of it.
  • Acting immediately to have it removed — approaching the individual and the platform concerned, and escalating where necessary.
  • Investigating how it happened and preventing a recurrence.
  • Supporting you with the information you need, including for any action you choose to take yourself.
  • Notifying the Information Commissioner's Office where the law requires it, within the statutory 72-hour window.

Responsibility and limits

We take the security of your photographs and films seriously, and take the steps described on this page to protect them.

Where the law makes us responsible, we are responsible — nothing here removes your statutory rights, and nothing here limits liability that cannot lawfully be limited. Beyond that, the limits of our liability are set out in your booking agreement: our total liability is capped at the amount you have paid us, and we are not liable for indirect or consequential loss. Where a third party acts without our authorisation, we will do everything set out above to put it right, but we are not liable for that unauthorised act itself beyond those limits.

Questions

If you have any questions about how your material is handled, please contact us — we are always happy to talk it through before you book.
